How to Create and Send Contracts in BrandSuite (The Easy Way)

BrandSuite makes it simple to create, customise, and send digital contracts that your clients can sign electronically, no printing, scanning, or chasing signatures.

In just a few minutes, you can build a contract template once… and send it automatically every time.

Step 1: Create Your Contract Template

1. Go to Templates
   In your BrandSuite account, navigate to:
   Payments → Documents & Contracts → Templates
2. Create a New Template
   Click + New, then select Create New Template.
   Already have a PDF contract?
   You can upload it and add fillable signature fields, no need to re-design it.
3. Design Your Contract
   Use the Add Element tool to drag and drop:
   • Text blocks
   • Images (like your logo)
   • Tables
   • Checkboxes or fields
4. Insert Custom Values
   This is where BrandSuite gets clever.
   Use Custom Fields to pull in client details automatically, such as:
   • {{ contact.first_name }}
   • {{ contact.email }}
   No manual typing = no mistakes.
5. Add Signature & Date Fields
   Drag in:
   • Signature Box
   • Date Field
   Make sure the fields are assigned to the client (not you).
   Tip: Set the date field to “auto-fill on signature.”
6. Save Your Template
   Give it a clear name like Website Design Agreement or Coaching Agreement and click Save.

✅ Now you have a reusable contract ready to go anytime.

Step 2: Send Your Contract

You have two options: Manually or Automatically via Workflow.

Option A: Send Manually

1. Open your saved template.
2. Click Publish to get a shareable link.
3. Send it via:
   • Email
   • SMS
   • Messenger
   • Or simply paste it in your proposal conversation.

Your client clicks → reviews → signs → you’re notified.
Done.

Option B: Send Automatically (Set & Forget)

This is where the magic happens. ✨

1. Go to Automation → Workflows
2. Create a new workflow.
3. Choose a trigger, such as:
   • A tag being added (example: “Ready to Onboard”)
   • A pipeline stage change (example: “Proposal Accepted”)
4. Add the action Send Documents & Contracts
5. Select your contract template.
6. Choose who the contract should go to (the contact record).
7. Save & Publish the workflow.

Now BrandSuite will send the contract automatically, every time the trigger occurs.

No follow-up.
